How to make meeting rooms more reliable

Shure’s Tyler Troutman explains how automated device monitoring and AI video features, paired with strong and secure audio solutions, help organisations deliver reliable, immersive hybrid experiences

Gone are the days of physically checking every device works in meeting rooms before employees come in. At a time where organisations may be managing hundreds – even thousands – of collaboration spaces across regions and time zones, manually testing each camera, microphone and display simply isn’t viable.

It’s a shift that reflects the scale and speed of modern workplace transformation. “In the past, someone would have started early to check that every device was powered on and functioning,” explains Tyler Troutman, senior manager of workplace experience and engagement at Shure. “Today, IT teams expect to open a dashboard and instantly know that every meeting room is operational and ready for the day.”

Remote management is foundational. In fact it’s so important, manufacturers have started developing their own cloud management platforms; for example, Shure has ShureCloud, which intuitively monitors Shure devices, pushes firmware updates, and manages Shure software licenses. Integrations with other management and monitoring platforms is crucial. Integrated information from service management platforms like ServiceNow allow IT teams to be alerted automatically if a device goes offline, often before employees even notice there is an issue. IT teams also use other popular enterprise management tools like Microsoft Pro Management Portal to manage their devices across campus, so the ability to integrate Shure device information from ShureCloud is important too.

The operational reality is that without reliable products in the room, IT teams would likely still have to physically visit each space if there is a problem. This has heavily influenced the development of Shure’s latest collaboration solution: the all-in-one IntelliMix Bar Pro.

Designed for medium to large meeting spaces, the IntelliMix Bar Pro combines audio and video into a single device, simplifying both deployment and management. Built on Microsoft Device Ecosystem Platform, the bar integrates natively into the broader Microsoft environment, something Shure sees as critical for enterprise customers. 

“As deployments expand across campuses, regions or even entire states, security becomes a major consideration,” says Troutman. “We work very closely with Microsoft to ensure our solutions stay fully aligned with their software suite and security standards.”

That alignment provides reassurance for IT leaders already invested in Microsoft technologies. 

“Microsoft’s security framework gives IT teams a high level of confidence,” says Troutman. “They know updates are being delivered consistently and that the platform is being maintained to enterprise-grade standards.”

Security, however, is only one pillar. According to Troutman, the IntelliMix Bar Pro is built on three core principles: exceptional audio, advanced video and robust security: “Security may be less glamorous than AI-driven framing or beamforming microphones but it’s absolutely critical for enterprise customers.”

The ‘glamour’, if there is any, lies in the meeting experience itself. The bar features four 4K cameras with AI-powered face framing, next generation array microphones with onboard IntelliMix DSP engineered to reduce background noise and isolate voices, and integrated stereo speakers to deliver clear, immersive sound.

“One of the biggest issues we hear from our customers is making sure everyone in the room can be clearly seen,” says Troutman. “That challenge really drove the creation of the IntelliMix Bar Pro. With IntelliMix View features such as group framing and active speaker tracking, we ensure that as people contribute to a meeting, they’re properly represented on screen. It creates a more inclusive and engaging experience for remote participants.”

Audio, unsurprisingly for a company with Shure’s 100 years in the business, remains central. The organisation has been synonymous with professional audio since 1925 and has certified solutions with Microsoft since 2019.

“We’ve been pioneers in audio for a long time,” says Troutman. “When Microsoft partners with us, they know they’re getting best-in-class audio performance.”

That performance is no longer just about being heard clearly in the room. As organisations adopt AI-driven tools such as Microsoft Copilot, the quality of audio input has direct downstream impact.

“Great audio is the foundation of a great meeting,” says Troutman. “It’s not just about clarity in the moment – it directly affects live captions, transcriptions and AI-powered tools in Microsoft Teams. They rely on clean, high-quality inputs. When the audio is right, it enhances collaboration and improves the quality of insights that can be captured and shared across the organisation.”
